Docuo’s automatic actions allow us to automate different tasks on a document, its file type fields or its metadata. They also allow us to configure the creation of new documents when appropriate.

All of these actions can be configured to occur automatically in the following events:

  • When leaving a process state (available in Docuo Enterprise version).
  • When moving through a process transition
  • When entering a process state (available in Docuo Enterprise version)
  • When submit a form (available in Docuo Enterprise version)

The actions that can be configured are always the same, regardless of the event that originates them, they may vary slightly in each case, depending on the configuration of the category itself. For example, in a category with a main file, without version control, the following actions would be available:

In addition to the actions on the main file, we could add other types of actions on “New” button in the list:

They allow us to define messages, actions on the file type fields (identical to those of the main file), creation of new documents and changes in the metadata of the same.

Depending on the configuration set by the user, the automatic actions can be chained due to a succession of events. Moving forward the most complete sequence would be:

  1. Actions “When leaving the state”.
  2. Actions “When moving forward through the transition”
  3. Actions “When enter in the state”

In the case of a form submission that also advances through a transition it would be:

  1. Actions “On form submission”
  2. Actions “When leaving the state”
  3. Actions “When moving forward through the transition”
  4. Actions “When enter in the state”
