For decades, Optical Character Recognition (OCR) has been the go-to technology for turning physical documents into digital data. Yet OCR as we know it is giving way to a new titan: Artificial Intelligence (AI).<\/p>\n

The problems with OCR<\/h2>\n

On paper, OCR is a powerful tool. It turns images of text into editable text, making it easier to digitise documents and extract their “metadata”. For example, given a scanned image of a supplier invoice, it can pull out the supplier’s tax ID, their details, the taxable base, the invoice total and its date, all to be entered into an invoicing tool.<\/p>\n

This technology is not without its limitations, though. One of the most significant is the need to create specific templates for each type or format of document<\/strong>. That approach works, but it is rigid and eats up a great deal of time and resources<\/strong>.<\/p>\n

On top of that, configuring the capture fields for each format is a tedious process.<\/p>\n

Every new document or variation in layout (because a supplier changes their invoice design, for instance) requires a manual review or the creation of a new OCR template<\/p><\/blockquote>\n

Added to this is the tendency of OCR systems to make errors when recognising data<\/strong>, especially with irregular fonts, handwriting or when documents are in less than ideal condition. These problems not only slow down workflows, they also introduce errors into the captured data.<\/p>\n

If initiatives such as electronic invoicing or data exchange via API were already calling into question the supposed profitability of OCR systems, all that was missing was the final blow for this technology.<\/p>\n

The arrival of AI in document recognition and understanding<\/h2>\n

Artificial Intelligence is ushering in a new era in document management. Unlike traditional OCR, solutions that capture data from documents using AI are not limited to simply transcribing printed characters. They can understand context, extract concepts<\/strong> and, most importantly, learn and adapt over time<\/strong>.<\/p>\n

AI can automatically identify document types<\/strong>, regardless of variations in format or layout, removing the need for predetermined templates: “This is an invoice<\/em>“, “This is a delivery note<\/em>“, “This is a contract<\/em>” are distinctions AI can make with a minimal margin of error.<\/p>\n

This advance not only simplifies the document capture process, it also significantly improves the accuracy of data extraction. AI can tell apart text, numbers and other critical data, even in complex or unstructured documents.<\/p>\n

To find a tax ID, an amount or a supplier’s details, it does not look for a number at certain coordinates on the page. It knows what all of the above means and will find it wherever it happens to be.<\/p><\/blockquote>\n

That makes it an ideal tool for extracting metadata from any image or file<\/a>, including digitised physical documents.<\/p>\n

This intelligent approach lets document management systems<\/a> such as R2 Docuo process a wider range of documents with less manual intervention, speeding up workflows and improving operational efficiency. What is more, AI’s ability to learn from interactions and corrections increases its accuracy over time, which means that the more data it processes, the better it gets<\/strong>.<\/p>\n

Towards a future without traditional OCR<\/h2>\n

The shift from OCR to AI is not just an incremental improvement; it is a change in the way we understand and use document recognition technology. With AI, we are not limited to converting images into text; we are teaching our machines to understand and process information<\/strong> the way a human would, but at a scale and speed that far exceeds our own capabilities.<\/p>\n

The question that arises, then, is not whether traditional OCR will become obsolete, but when.<\/p><\/blockquote>\n

As AI continues to evolve and adapt, it is clear that AI-based Document Management Systems will not only replace OCR, they will also extend its capabilities<\/strong>, making it possible to “talk to your documents” and integrating more deeply into our document management systems and business workflows.<\/p>\n

The change is reminiscent of the transition from punched cards to magnetic storage: once the new technology takes hold, the old one quickly becomes a memory of the past.<\/p>\n

Classic OCR technology will become a legacy of an earlier era in months, not years.<\/p><\/blockquote>\n
