However imagine it is your personal details like your bank account information, health records even where you live. <strong>These are extremely important also imagine if you are in control of those details of others too, that is a lot of information to control.<\/strong><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" width=\"600\" height=\"400\" class=\"size-medium wp-image-1493 aligncenter\" src=\"https:\/\/www.r2docuo.com\/en\/wp-content\/uploads\/sites\/2\/2018\/05\/masaaki-komori-580425-unsplash-1-600x400-1-600x400.jpg\" alt=\"\" \/><\/p>\n<p>Luckily when it comes to a website your normally covered when you enter your details by vast encryption protocol&#8217;s like SSL (Secure Sockets Layer) and the AES (Advanced Encryption Standard). <strong>However what about software in which you store and control the distribution of files and data?<\/strong><\/p>\n<p>That kind of sotware is called Document Management Software and is a key tool in order to ensure document and information security in any organization.<\/p>\n<p>Here at<a href=\"https:\/\/www.r2docuo.com\/en\"> Docuo<\/a> we have tried to simplify the security setup and management of files, users and collaborators right down to the ability to see, edit, and download a file.<\/p>\n<p>Here I want to show you some simple yet effective ways to set up some basic security settings in Docuo.<\/p>\n<h3>Seting up security for user and collaborator accounts<\/h3>\n<p>Lets start with who will have access to the software. In the user properties window, the one you use to create new user accounts, you have several security options:<\/p>\n<p><a rel=\"nofollow noopener\" href=\"https:\/\/r2docuo.com\/en\/wp-content\/uploads\/sites\/2\/2018\/05\/user_coll_setup.png\"><br \/>\n<img loading=\"lazy\" decoding=\"async\" width=\"493\" height=\"518\" class=\"aligncenter size-full wp-image-711\" src=\"https:\/\/r2docuo.com\/en\/wp-content\/uploads\/sites\/2\/2018\/05\/user_coll_setup.png\" alt=\"\" srcset=\"https:\/\/www.r2docuo.com\/en\/wp-content\/uploads\/sites\/2\/2018\/05\/user_coll_setup.png 493w, https:\/\/www.r2docuo.com\/en\/wp-content\/uploads\/sites\/2\/2018\/05\/user_coll_setup-286x300.png 286w\" sizes=\"auto, (max-width: 493px) 100vw, 493px\" \/><\/a><\/p>\n<p>Here you can,<\/p>\n<ul>\n<li>Halt their account immediately<\/li>\n<li>Force them to change their password<\/li>\n<li>Make them always log out so they must enter their password every time<\/li>\n<li>You can view all the activities they have performed<\/li>\n<li>See any individual permissions set up<\/li>\n<li>You can also restrict access from specific IP addresses<\/li>\n<\/ul>\n<p>This is all done in the user and collaboration creation screen and is <strong>incredibly easy to perform by any administrator or any user with the given permission to do so.<\/strong><\/p>\n<p>You can find out more about user management <a rel=\"nofollow noopener\" href=\"https:\/\/help.r2docuo.com\/en\/Usermanagement.html\">here<\/a> and collaborator management <a rel=\"nofollow noopener\" href=\"https:\/\/help.r2docuo.com\/en\/Collaboratormanagement.html\">here<\/a>.<\/p>\n<h3>General security settings and password complexity<\/h3>\n<p>Now lets explore some more broader setting on user and collaborator security mainly around passwords.<\/p>\n<p>In the settings area of <a href=\"https:\/\/www.r2docuo.com\/en\">Docuo<\/a> which can be found here:<\/p>\n<p>&nbsp;<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" width=\"288\" height=\"262\" class=\"aligncenter size-full wp-image-712\" src=\"https:\/\/r2docuo.com\/en\/wp-content\/uploads\/sites\/2\/2018\/05\/how_to_get_settings.png\" alt=\"\" \/><\/p>\n<p>Here you will be shown more options:<\/p>\n<p><a rel=\"nofollow noopener\" href=\"https:\/\/r2docuo.com\/en\/wp-content\/uploads\/sites\/2\/2018\/05\/Settings.png\"><br \/>\n<img loading=\"lazy\" decoding=\"async\" width=\"553\" height=\"457\" class=\"aligncenter size-full wp-image-713\" src=\"https:\/\/r2docuo.com\/en\/wp-content\/uploads\/sites\/2\/2018\/05\/Settings.png\" alt=\"\" srcset=\"https:\/\/www.r2docuo.com\/en\/wp-content\/uploads\/sites\/2\/2018\/05\/Settings.png 553w, https:\/\/www.r2docuo.com\/en\/wp-content\/uploads\/sites\/2\/2018\/05\/Settings-300x248.png 300w\" sizes=\"auto, (max-width: 553px) 100vw, 553px\" \/><\/a><\/p>\n<p>So from this area you can for example,<\/p>\n<ul>\n<li>Ensure a password can expire<\/li>\n<li>Enter the number of blocked minutes that the user has to wait when entering the password incorrectly, if you leave it empty it will not be unlocked until you recover with the option &#8220;forgot your password?&#8221; from the login window<\/li>\n<li>Create complex passwords<\/li>\n<\/ul>\n<p>This two features allow a <strong>strong control over the users<\/strong> who have access to the software. You can find out more information <a rel=\"nofollow noopener\" href=\"https:\/\/help.r2docuo.com\/en\/Generalsettings.html\">here<\/a>.<\/p>\n<p><span id=\"result_box\" class=\"\" lang=\"en\">If your company has a domain server (Active Directory) it is also possible to configure Docuo to use the same user and password that you use every day at work to enter Windows. <span class=\"\">You can get more information <a href=\"https:\/\/www.r2docuo.com\/en\/faqs#faq21\">here<\/a>.<\/span><\/span><\/p>\n<h3>What about the files? Permissions in folders and categories<\/h3>\n<p>Even though you decided<strong> who you wish to have access to the software you may not want some users seeing what others can<\/strong>. For example, you may want information from a colleague in Hong Kong but you don&#8217;t want them to see the information supplied by another colleague in London, this is where you set up specific permissions for folders.<\/p>\n<p><a rel=\"nofollow noopener\" href=\"https:\/\/r2docuo.com\/en\/wp-content\/uploads\/sites\/2\/2018\/05\/Folder_permissions.png\"><br \/>\n<img loading=\"lazy\" decoding=\"async\" width=\"600\" height=\"368\" class=\"aligncenter size-medium wp-image-715\" src=\"https:\/\/r2docuo.com\/en\/wp-content\/uploads\/sites\/2\/2018\/05\/Folder_permissions-600x368.png\" alt=\"\" srcset=\"https:\/\/www.r2docuo.com\/en\/wp-content\/uploads\/sites\/2\/2018\/05\/Folder_permissions-600x368.png 600w, https:\/\/www.r2docuo.com\/en\/wp-content\/uploads\/sites\/2\/2018\/05\/Folder_permissions-768x471.png 768w, https:\/\/www.r2docuo.com\/en\/wp-content\/uploads\/sites\/2\/2018\/05\/Folder_permissions-300x184.png 300w, https:\/\/www.r2docuo.com\/en\/wp-content\/uploads\/sites\/2\/2018\/05\/Folder_permissions.png 934w\" sizes=\"auto, (max-width: 600px) 100vw, 600px\" \/><\/a><\/p>\n<p>Here is the folder permissions for &#8220;Honk_kong&#8221; which you can access through the folder manager options (more information found <a rel=\"nofollow noopener\" href=\"https:\/\/help.r2docuo.com\/en\/Settingfolderpermissions.html\">here<\/a>) As you can see you can set specific permissions for users and collaborators including any groups set up.<\/p>\n<p>You can choose if they can:<\/p>\n<ul>\n<li>View<\/li>\n<li>Create<\/li>\n<li>Modify<\/li>\n<li>Delete<\/li>\n<li>Publish<\/li>\n<li>Manage the folder<\/li>\n<li>Manage the permissions<\/li>\n<\/ul>\n<p><strong>So you can completely control all the activity what happens in each specific folder<\/strong>. You can also set up email notification for any of these changes so you are completely up to date.
